You will be reporting to a Director of Operations, and this role represents a fantastic opportunity to deliver an excellent service to support and improve UK Healthcare. Leading and managing the Mobile Planning and Transport teams, to ensure the cost effective, efficient, professional and timely delivery of and support services to customers across the UK and Ireland. Overseeing the planning, scheduling, movement, maintenance and storage of our 107 mobile assets; and ensuring full compliance with all relevant legislation.

Managing key internal and external relationships with colleagues, suppliers and customers; working with Procurement to negotiate supplier costs and improve the supply chain efficiency. Ensuring a comprehensive and up-to-date asset and site requirement register is maintained and is readily available to the Business Development and Operations teams.

Hiring, training and evaluating employees; preparing informative, accurate and concise reports on a regular and as required basis for the Senior Management Team.

The role location is to be confirmed, as it will depend on the candidate’s location, but you will be expected to work from the following locations on a regular basis and visit their operational locations across the UK:

- North West Transport Hub

- Patient Referral Centre – Rochdale

- Upper Heyford Transport Depot

- Head Office – High Wycombe

As the revenue associated with the mobile clinical services is the largest of any of the business areas.  Consequently, this role is critical in ensuring this part of my client’s business operates optimally and its financial contribution is as expected as it has a significant impact on the overall performance of the company. The post holder is tasked with covering 3x their salary in demonstrable improvements in utilisation or cost reduction

Therefore, your key result areas and specific duties will include:

People Management

- Uphold the company’s core values

- Understand and hold accountability for own actions

- Lead and manage your team effectively, ensuring absence, performance and other ER issues are dealt with professionally and in a timely manner taking responsibility for cases of a serious nature and/or appeals

- Motivate staff and promote a high level of morale, ensuring that staff react appropriately to ever changing demands; actively engaging with your team to foster an environment where excellence flourishes

- Ensure a ‘no blame culture’ of reporting, investigating and learning lessons from incidents, accidents and/or near misses; liaising with Clinical Governance as appropriate

- Address performance improvements of the service and/or departmental personnel; ensuring appropriate supervision, training, assessing, coaching and mentoring

- Complete performance appraisals in a timely manner, utilising SMART objectives to assist development to a high level of competency, identifying development and succession opportunities for team members

- Facilitate team meetings to manage service provision, continually develop the team, manage conflicting views, disseminating information

- Own recruitment and retention responsibility for the department

- Establish strong working relationships with all key internal and external customers; ensuring full customer satisfaction

- Effectively manage supplier relationships, in conjunction with procurement, in line with business standards


Financial Management

- Ensure the company delivers on its commitment to customers in relation to mobile services; making sure planning, scheduling and unit delivery is performed in a manner that eradicates error, maintains the company’s reputation, maximises profit and meets or surpasses budget expectations

- Manage all departmental activities within agreed budgets, effectively managing costs and continually seeking to increase profit margins

- Provide monthly reporting on trailer moves and associated costs; striving to identify and implement continuous savings

- Manage contractor negotiations ensuring they remain cost effective

- Work with Procurement to achieve best value on asset disposals

- Drive the prevention of expenditure associated with asset and equipment damage.


Business Development

- Actively support the marketing and promotion of the company

- Provide support and assistance to the bids and operational teams during bids and tender processes

- Assist in the evaluation and procurement process for new equipment, providing SME input as required

- Have an effective involvement in business projects at a local and business wide level as required and directed.

Operations Management

- Manage the development of business and operational planning pertaining to logistics and transportation

- Ensure the provision of on-call support (outside normal working hours) is appropriately delivered and maintained

- Own the operational relationships with all external suppliers of company owned and leased vehicles (HGV/LGV/Bowser/Van/Cars), ensuring compliance with servicing, maintenance, MOT and tax obligations; and collaborating with Procurement to ensure the Company benefits from the best value for money arrangements, including compensation for performance failure and delivery of full manufacturer warranty obligations

- Ensure complete compliance with all current Company Policies and Procedures, and Domestic and European fleet Operating Regulations, including accurate record keeping

- Ensure all departmental KPI’s are achieved and corrective action is taken in a timely manner to address any shortfalls

- Hold responsibility for Health and Safety of the Logistics and Transportation department, proactively monitoring risks, ensuring preventative measures are introduced and maintained and managing any issues through to correction

- Develop a full suite of daily, weekly and monthly reports covering the full range of activities undertaken by the department to ensure that the planning and decision making is data-driven.  Such reports and analysis must be able to evidence that the deployment of assets is optimal giving consideration to the wide range of criteria (e.g. number of moves required to deploy and asset, mileage required to support deployment, maintenance requirements etc).

- Liaises with third-party maintenance providers to ensure tasks are appropriately prioritised and costs are effectively controlled

- Proactively manage changes, contributing to and implementing new strategies; empathising, consulting and effecting change using persuasive, motivational and negotiating skills

- Undertake any additional tasks as detailed by the SMT

- Cover for the Operations Director in their absence.

Contract Management

- Hold responsibility for compliance with and performance against all departmental contracts

As this role will have a high degree of autonomy and is able to make decisions regarding operational activities and the execution of tasks.

The ideal individual would be someone who has a strong logistics background, who has left the military and can affect improvements within very short space of time.
